Keep the observation behind each answer
A checklist can preserve yesterday’s answer while the relevant evidence has changed. Store the criterion wording, observed value, source, observation instant and any explicitly chosen validity rule. A bare yes has no way to show whether its supporting observation is still within that rule.
The rules in this guide are fictional inputs for reviewing a personal plan. They are not exchange requirements or recommended time limits. A condition about a document version might have a different validity rule from a condition about a time-sensitive market observation.
Separate expired evidence from a failed condition
Imagine a review at 10:15+00:00. Criterion A was observed at 10:00 and its supplied validity ends at 10:30. Criterion B was observed at 09:00 and its validity ended at 10:00. Criterion C has no supplied observation. A is within the entered window, B is expired, and C is unknown.
Neither B nor C proves that the underlying condition is false. They show that this evidence does not currently support an affirmative answer under the chosen rules. Keep the difference visible instead of converting every incomplete row into the same failure flag.

Do not carry evidence across a changed question
If a criterion changes from one threshold to another, retain its old version and ask whether the original observation can answer the new question. Updating the wording while leaving its old yes untouched can hide a different kind of staleness even when the observation time is recent.
Save amended criteria as new versions linked to the original. A change in the plan does not establish an execution, a position or a suitable entry. The review should describe evidence completeness rather than send an order or present a universal permission-to-trade signal.
Make an exact deadline’s inclusion rule explicit
At the instant a validity window ends, the classification depends on the declared endpoint convention. A half-open window excludes its ending instant; a rule explicitly valid through that instant can include it. Do not choose the more convenient interpretation after reading the checklist. Store the convention with the criterion version. If the source merely says today without a date, time zone or end rule, report that the precise expiry is unresolved rather than creating an exact minute.
Preserve complete UK-local dates and the unresolved rows
Keep source timestamps and their full offsets when presenting a UK-local review. A clock label alone can be ambiguous across dates or different sources. If an observation provides no time, leave its freshness unresolved instead of using the time when you opened the spreadsheet.
The final note can identify one supported criterion, one expired observation and one unknown criterion. That is a process audit, not proof that a plan is safe or profitable. No registration or trading account is needed to understand the fictional example.
